Summits

A Summit Is a Guest List. With a Stage.

So register it like one: private ticket groups only your invitees can reach, promo codes locked to the right email domains, and payment links that hold a seat for the chief executive who will sort it later.

  • Private pass links, hidden from the public page
  • VIP sessions only the right passes can book
  • Unlimited events, invitees and registrations

Summit Quirks

Exclusive Is Easy to Say.
Here Is How to Run It.

Summits live and die by the guest list. These are the bits that keep summit producers up at night, and what eventcloud does about each.

Invitation Only, with a Gatekeeper

Coming Soon
The Quirk

A summit runs on a guest list. Someone decides who gets in, and the public must not stumble on the registration page.

How eventcloud Handles It

Every registration can wait for your approval before it is confirmed, and access codes open a pass only to the people you invited.

Today, invitees register through a private ticket group that only opens from a secret link, and promo codes can be locked to named email domains.

VIP Tiers and a Dinner for Forty

The Quirk

The VIP pass includes the dinner and the chief executives' roundtable, the standard pass does not, and the dinner seats forty.

How eventcloud Handles It

Tier the passes as ticket types and include the roundtable with the VIP pass, so it lands straight on their agenda. Sell the dinner, the workshop or the airport transfer as add-ons with per-ticket, per-order and stock caps, each assigned to a named guest with every unit tracked.

Sponsors Who Want Their Own Guest List

Coming Soon
The Quirk

Every sponsor package comes with a handful of passes, and every sponsor wants to know what their money bought.

How eventcloud Handles It

Sponsors register their own guests through a sponsor portal, inside the allocation their package includes, and see what their sponsorship delivered.

Today, sponsor guests register through a private pass link with a capacity you set, and sponsors appear by tier on your event website.

The CEO Who Will Sort It Later

The Quirk

A PA registers the chief executive, finance pays next week, and the seat must not go to anyone else in the meantime.

How eventcloud Handles It

Hold the seat and send a payment link. The guest pays by card on your event's branded page, the link stays open for up to 30 days, and you can resend or withdraw it at any time. The PA registers the chief executive under the executive's own name and email, so the ticket lands in the executive's inbox, not the PA's.

The Guest List

Everyone on the List. Nobody Else.

Invitees, VIPs, the assistants who book for them and the door: four parts of one quiet guest list.

A Front Door Only They Can Find.

Invitees register through a private ticket group that only opens from the secret link you send. Promo codes can be locked to named email domains, so a forwarded code only works for addresses at the companies you chose.

  • Hidden: never listed on the public event page
  • Seat holds: a payment link open for up to 30 days
  • Coming soon: approval and access codes

The Roundtable Is Included.
The Dinner Seats Forty.

Include the chief executives' roundtable with the VIP pass so it lands straight on their agenda, and limit who can book it to that pass: at its door, anyone else is turned away. Sessions others can book take only the passes you choose, up to the capacity you set.

  • Included: on every VIP agenda, with no booking needed
  • Bookable sessions: only the passes you choose, until the room is full
  • Add-ons: the dinner, capped at forty and assigned to a named guest
See Session Booking
Booking settings for one agenda session: booking switched on, a price, a capacity of 35, booking closing 120 minutes before the start, who can buy, and the session included with the Founder Pass

The PA Books.
The Chief Executive Gets the Ticket.

Assistants register their executive under the executive's own name and email address, so the confirmation and ticket land in the right inbox. The executive opens the event app with the email the ticket went to, or the ticket code.

  • One guest, one address: when a pass asks for guest details
  • Calendar file: the summit and each session they hold, on every confirmation
  • Corrections: guests fix their own details in the attendee portal

Badges Ready Before the Coffee Is.

Guests type their ticket number at a laptop by the entrance, check their badge and print it, and printing checks them in. Your door team scans everyone else from their own phones.

  • Kiosk search: by name or email, if you switch it on
  • Door phones: one link and a four-digit PIN
  • Repeat scans: flagged with the time of the first

Summit Day

Invitation to Follow-up. Four Quiet Steps.

The parts of a summit nobody should notice, done properly.

  1. 1

    Dress Every Page

Theme colours, font pairings and your own wording on the event website, previewed on a phone before anything goes public.

Website editor open on an event site: theme panel with brand, accent, background and text colours and their contrast ratios, a desktop and phone preview switch, Show editable areas, and Discard Changes and Apply to Page beside the live page
  2. 2

    Greet Them by Name

Door staff scan the QR and the phone confirms the guest by name, with the time they arrived.

Phone check-in screen confirming Tomas Reyes is checked in at 07:43:44, with Scan Another and Done buttons
    Checked In
  3. 3

    Hand Them the App

Guests open the event app from their confirmation email: the keynote, the agenda and the sponsors, with nothing to download.

Attendee event app on a phone showing the event banner, a highlighted keynote with its photo, date and time, and the bottom bar with Agenda, My Agenda, the menu, Home and Messaging
  4. 4

    Follow Up the Room

Every guest and every answer goes to Excel for the thank-you notes, filtered by pass.

Attendee list filtered to delegate passes, showing first and last names, companies, job titles, countries, ticket types and registration dates

Small Details. Big Room.

No tiers and no add-on list. Every seat gets all of it.

Fair Questions

Questions Summit Organisers Ask.

Can we keep registration invitation-only?

Coming soon: approval and invite-only registration, with access codes. Today, private ticket groups are reachable only by a secret link, promo codes can be restricted to named email domains, and you can hold a seat for someone and send them a payment link.

Can we limit a session to VIP guests?

Yes. Choose which passes can book each session, cap the room, and scan guests in at its door, where anyone without the right pass is turned away. Any pass can have a session included, but only passes that ask for each guest's details can book one.

Can a guest change or hand on their place?

Coming soon: guests cancelling or transferring their own ticket. Today they sign in to the attendee portal on your event site to download their ticket and correct their own details, and your team can change the name or email on any order, resend the ticket and move extras between guests.

Can we print badges on the day?

Yes. Run the Badge Kiosk on a laptop beside your badge printer: guests type their ticket number, check the badge and print it, and printing checks them in. You can also print any guest's badge from the dashboard before the doors open, or after a late name change.

Can we build the summit before we pay?

There is a free trial. Build the whole summit, rehearse checkout with Stripe test cards, and rehearse check-in and the Badge Kiosk on a draft event, then subscribe when you are ready to publish.

Can we run a hybrid summit?

No. eventcloud is for in-person events. If part of your summit is streamed, the stream needs another tool.
