Exhibition Quirks

Every Show Has Its Pinch Points.
Here Are Yours.

Free visitors, paying exhibitors and a crowded entrance all meet in one registration system. This is where it usually pinches, and what eventcloud does about it.

Free Visitors, Private Stand Staff

The Quirk

Visitors register free and answer qualifying questions about job role and buying power. Stand staff need a different form, and visitors should never see the stand-staff pass.

How eventcloud Handles It

Run a free public ticket group for visitors and a private group for stand staff in the same event, each with its own form and confirmation email. Free visitors get the same QR code, PDF ticket and confirmation as a paid pass, with no card step.

Stand Staff Tied to the Stand

Coming Soon
The Quirk

Each stand package comes with a set number of staff badges, and someone has to police the allocation.

How eventcloud Handles It

Each exhibitor registers their own stand staff through an exhibitor portal, against their stand and inside the allocation that came with it.

Today, stand staff register through a private pass link with a capacity you set.

Badges Printed on Arrival

The Quirk

Some visitors print their ticket at home and some want a badge waiting, but plenty walk up with nothing but a phone and expect a badge on the spot.

How eventcloud Handles It

Put a self-service Badge Kiosk at the entrance: visitors type their ticket number, check their badge and print it, and printing checks them in. Anyone you would rather badge in advance gets theirs printed from the dashboard before the doors open.

Selling the Floor

Coming Soon
The Quirk

Stand sales live in a spreadsheet and a PDF floor plan that is out of date by lunchtime.

How eventcloud Handles It

Exhibitors pick a stand on your floor plan and pay for it, and the plan updates itself as stands sell.

Today, sell stand packages as ticket types or add-ons, with the money settling in your own Stripe account.

Four Ways In

One Show. Four Front Doors.

Visitors, stand staff, exhibitors and stewards each get a door that suits them, and every one of them ends up on the same list.

Free, Public and Qualified.

Visitors register free on a public form that asks about job role, company size and buying power, with no card step. They get the same QR code, PDF ticket and confirmation email as a paid pass.

  • Terms on every registration: a Terms and Policies question records each acceptance
  • One visitor, one email address: when the pass asks for each person's details
  • Every answer in Excel: filtered by group, up to 10,000 orders per export

A Private Pass. A Badge That Says Which Stand.

Stand staff register through a private group reached only by a secret link, with its own form, confirmation email and a capacity you set. Ask for the company and stand number on their form and the stand-staff badge prints both, in a design of its own.

  • Hidden: never shown on the public event page
  • A design per pass type: visitors, stand staff and press
  • Lead retrieval: included with the pass or sold at checkout

Every Stand Scans. No Goldfish Bowl Required.

Lead retrieval comes with every seat, and the scanner is the phone each exhibitor already carries. Stand staff scan the QR code on each attendee's badge or in their event app, rate the lead from 1 to 5, answer up to ten questions of their own and add notes.

  • No signal, no panic: scans wait on the phone for up to 30 days once the scanner is open
  • Leads to Excel: each rep downloads their own, and a leads email arrives the morning after
  • Who Scanned Me: visitors see which companies scanned them, unless you switch it off
  • Totals for you: who is scanning and how much, never the leads themselves
  • Included or sold: no charge from us per scanner or per lead

The Entrance. Staffed by Anyone with a Phone.

Your stewards already own the hardware. They open the check-in link on any phone or tablet, enter a four-digit PIN and scan the QR or type the nine-digit ticket number, with no app and no accounts.

  • Pause or rotate: between halls or at the end of a shift
  • Duplicates caught: a second scan shows when the visitor first came in
  • Problems refused: refunded or unpaid tickets are turned away
  • Arrivals by hour: the check-in rate in Insights, live

Fair Questions

Questions Exhibition Organisers Ask.

Answered for today. Where something is still being built, the answer says Coming soon first.

Can exhibitors scan visitors for leads?

Yes. Lead retrieval comes with every seat: exhibitors scan the QR code on each attendee's badge or in their event app with their own phones, rate and qualify each lead, and export their leads to Excel. No charge from us per scanner or per lead. You decide whether exhibitors get it with their pass or buy it at checkout for a price you set.

Can we print visitor badges at the entrance?

Yes. Run a self-service Badge Kiosk at the entrance on a laptop with your badge printer beside it: visitors type their ticket number, check the badge and print it, and printing checks them in. You can also print any visitor's badge from the dashboard before the doors open.

Can visitors register free?

Yes. Visitors register free with the same QR code, PDF ticket and confirmation email as a paid pass, and no card step. A live event still needs a connected Stripe account today.

Coming soon: free registrations without connecting Stripe at all.

Can door staff find a visitor by name?

Coming soon: search by name, company or email on the door staff's phones. Today door staff scan the QR or type the nine-digit ticket number, and a Badge Kiosk finds visitors by name or email if you switch that on.

Is there a limit on visitors?

No. Visitors, exhibitors and events are unlimited on every plan; team seats are the only thing we count. Each Excel export holds up to 10,000 orders, so a bigger show exports in slices by ticket group.

Where is visitor data hosted?

Coming soon: EU or UK data hosting and a data processing agreement. Today it is hosted in the US, on Fly.io in US East. You can erase a visitor's data on request and export visitors and orders to Excel whenever you like.
