Association Events

The Whole Association Year. One Subscription.

Not one licence per event. The chapter breakfast, the AGM, the training day and the annual conference all run on the same subscription, and nobody counts your registrations or attendees.

  • Unlimited events, registrations and attendees
  • Member rates behind a members-only link
  • Between conferences: export, cancel, come back

Association Quirks

Members, Money and Chapters.
Straight Answers.

What association teams ask first, answered for today. Features still being built carry a Coming soon pill.

Fee Categories and Deadlines

The Quirk

Member, non-member, student, retired and speaker rates, each with an early, a standard and a late fee, and a committee that wants all of them live by Friday.

How eventcloud Handles It

Give each rate its own ticket group, with its own form, confirmation email and price schedule; there is no limit on how many you create. Early, standard and late prices switch on the dates you set.

Member Pricing That Checks Membership

Coming Soon
The Quirk

Members expect the member rate. Non-members expect to try their luck with it. Your membership database lives somewhere else entirely.

How eventcloud Handles It

Verify membership as people register, so the member rate goes to members and nobody else.

Today eventcloud does not check membership for you: the member rate sits behind a members-only private link or a member promo code, and you reconcile against your member list from the Excel export.

Group Bookings from Employers and Chapters

Partial
The Quirk

A chapter secretary wants to book eleven people, half of whom have not decided what they are eating.

How eventcloud Handles It

Group rates do the maths: give the pass a lower price from, say, five tickets, and every ticket of that pass in the order gets it. One order holds up to 99 named delegates, each with their own email address, and each can fix their own answers later in the attendee portal, dinner choice included.

Coming soon: a coordinator page where the secretary fills in the names later.

CPD and Certificates of Attendance

Coming Soon
The Quirk

Members need evidence of the hours they sat through, ideally before their CPD deadline rather than after it.

How eventcloud Handles It

Issue certificates of attendance and record CPD or CE credits for the sessions each member attends.

Today, scan members in at each session's door and download that session's attendance list, with the time each person first came in, as evidence for their CPD records.

Who Turns Up

Members, Chapters and Volunteers. Sorted.

The member rate, the chapter codes and the desk, each handled where it belongs.

Member Rates.
Kept for Members.

Put the member rate in a private ticket group that only opens from the link you send to members, or keep one public pass and send members a promo code with a cap and an expiry. Coming soon: membership checked as people register.

  • Their own questions: membership number, chapter, the dinner
  • Their own badge: chapter or grade, straight from the form
  • Typos: theirs to fix in the attendee portal

Partner Links and Chapter Codes.
Sales Credited.

Partner bodies share a tracked link that works from any page of your event site, with sales reported per partner. Each chapter gets its own promo code with a cap and an expiry, and the promo leaderboard in Insights shows which chapter sold what.

  • Caps and expiry dates: set per code
  • Skip group rates: when two discounts should not stack
  • Unlimited codes and links: we count team seats, not promotions

A Link and a PIN.
No Training Day Required.

Volunteers check delegates in from their own phones, with no app and no account, and you pause the link when the desk closes. At each session door, one scan admits members who booked it or have it with their pass.

  • No seat needed: door volunteers are not team members
  • Pause: closes the desk on every phone at once
  • Session doors: each session's attendance list fills itself

Between Conferences

For the Biennial Crowd. And Anyone with a Quiet Summer.

An association year has gaps. Your subscription does not have to pretend otherwise.

  • Export first: attendees and orders to Excel, every answer included, up to 10,000 orders per export
  • Nothing held hostage: event data is kept for a window after a lapse, with a warning email before anything is purged
  • Monthly: cancel when the conference is over and keep access to the end of the period you have paid for
  • Back in one click: reactivate when the next conference comes round, with the organisation, its members and its billing history kept

Questions

Questions Association Teams Ask.

Answered for today. Where something is still being built, the answer starts with Coming soon.

Can we check membership automatically?

Coming soon: member verification and member pricing at registration. Today eventcloud does not check membership for you: put the member rate in a private ticket group behind a members-only link, or give members a promo code, and reconcile against your member list from the Excel export.

Can delegates pay by invoice or bank transfer?

Coming soon: invoices, pay by invoice, bank transfer and purchase orders. Today card payments go through Stripe's hosted checkout straight to your account, and we take 0% of ticket revenue; for buyers who must pay off-platform, capture a PO number on the form, hold the place and send them a payment link, or add them by hand once they have settled.

Can we print badges on site?

Yes. Run the Badge Kiosk on a laptop beside a badge printer: delegates type their ticket number, check their badge and print it, which checks them in. You can also print any badge from the dashboard, designed in real millimetres on 4x6 inch, A4, A5, A6, Letter or custom stock.

Can a delegate change or hand on their ticket?

Partly. In the attendee portal, delegates download their tickets and correct their own answers, though not their email address. Handing a ticket to someone else is coming soon; until then your team changes the name or email on the order and resends the ticket.

Is there a free version?

You can build the whole event, rehearse checkout with Stripe test cards and rehearse check-in on a draft event for free; you subscribe when you are ready to publish. Free events, such as an AGM, get the same ticket PDFs, QR codes and confirmations as paid ones. A live event still needs a connected Stripe account, even when every ticket is free.
