Careers Fairs

Candidates Register Free. Employers Get a Stand Pass.

You get the turnout figure. Two registrations in one fair: a free form for candidates with the questions your employers care about, and a private pass link for employer stand staff. Recruiters scan candidates on the phones they already carry.

  • Unlimited candidates, no per-registration charge
  • Lead retrieval for recruiters, no charge from us
  • Student ambassadors on the door, no accounts
Public registration form an attendee fills in, with contact details, company and job title, a single choice question about their organisation, and country and mobile number fields
Careers Fair Quirks

Two Sides, One Fair.
Handled.

A careers fair is a trade show where the product is people. Same mechanics, kinder vocabulary.

Candidates and Employers, One Fair

The Quirk

Candidates register free and want to know who is coming. Employers register stand staff and want to know who the candidates are.

How eventcloud Handles It

Run a free public ticket group for candidates and a private group for employer stand staff, each with its own form and confirmation email. When a pass asks for each person's details, one email address holds one ticket of it, which keeps duplicates out, and the two lists export to Excel separately.

Employers Scanning Candidates

The Quirk

Every employer wants the names of the candidates who stopped at their stand, ideally without a pile of business cards and a pen that ran out at eleven.

How eventcloud Handles It

Lead retrieval comes with every seat: recruiters scan the QR code on each attendee's badge or in their event app with their own phones, rate each candidate and export their list to Excel, with no charge from us per scanner or per lead.

CVs at Registration

Coming Soon
The Quirk

Every candidate has a CV they would like to hand over, preferably before the queue at the bank stand reaches the door.

How eventcloud Handles It

File-upload questions let candidates attach a CV as they register.

Today, ask for a profile or portfolio link as a text question.

Your University's Name on Everything

The Quirk

The fair is the careers service's event, not a software vendor's, and the student portal is where the link gets shared.

How eventcloud Handles It

Run it at yourcareers.eventcloud.io on every plan, with confirmations sent from your own email domain and the page in your colours and logo. Share the candidate link through the student portal like any other.

Both Sides of the Stand

Candidates, Recruiters, Ambassadors. And You.

Everyone at a careers fair wants something from it. Here is what each of them gets.

Register Free.
Bring a Portfolio Link.

Candidates register free on their own form, with the questions your employers care about: degree subject, year of study, sectors of interest and a profile link. Their QR code lives in their confirmation and in the event app. Coming soon: file-upload questions for a CV.

  • Same QR and confirmation: as a paid pass
  • Duplicates: one email address, one ticket, when a pass asks for details
  • Consent: ask whether employers may contact them, and record their acceptance of your terms
  • Calendar file: the fair lands in their diary

A Pass per Recruiter.
Leads on Their Own Phones.

Each recruiter on the stand gets their own registration, badge and QR code through a private employer link. Lead retrieval comes with every seat: recruiters scan the QR code on each attendee's badge or in their event app, rate each candidate, add notes and export their list to Excel.

  • Included or sold: with the employer pass, or at checkout for a price you set
  • What a scan shares: name and email, plus any answers you tick
  • Who Scanned Me: candidates see which companies scanned them, unless you switch it off

Student Ambassadors on the Door.
Nothing to Train.

Ambassadors open the check-in link and enter a four-digit PIN on their own phones: no app and no account. Candidates who would rather print their own badge do it at a Badge Kiosk.

  • Scan or type: the QR or the nine-digit ticket number
  • Repeat scans: flagged with the time of the first
  • Arrivals by hour: in Insights, for the lunchtime rush

Your University's Name.
On Everything.

Run the fair at yourcareers.eventcloud.io on every plan, with confirmations from your own email domain and the website in your colours and logo, set on the page itself with a phone preview.

  • Three faculties, three fairs: events are unlimited
  • Separate exports: candidates and employer staff, every answer
  • Erasure: delete a candidate's data when they ask

Fair Day

Doors at Ten. Leads by Lunch.

Two front doors, name-first badges, scans on the stands and a turnout figure the careers service can quote.

  1. 01

    Open Two Front Doors

A free public group for candidates and a private group for employer stand staff, each with its own form.

Ticket groups for one event, including delegate passes, exhibitor staff, expo visitors, speakers and VIP hosted buyers, each linked to its own registration form and marked public or private
  2. 02

    Print Name-first Badges

A design per pass, with the first name large enough to read across a hall and the ticket number as a barcode if you want one.

Badge designer with the ticket barcode selected on an exhibitor badge, its note that the barcode is generated at print time from the ticket number, position and size fields, and the Ticket Barcode element in the layers list
  3. 03

    Turn the Scanner On

Pick which employer passes get lead retrieval and which answers a scan shares, and recruiters scan on their own phones.

Lead Capture settings for one event: the switch that turns the scanner on, the ticket types whose holders get it, and Sell Lead Capture with a price for selected stand tickets
  4. 04

    Report the Turnout

The careers service sees how many leads each recruiter captured, hour by hour. The leads themselves stay with the employers.

Organiser's lead capture dashboard with people scanning, leads captured, attendees scanned and scans today, a leads by hour chart and a by person table showing Jordan Hale of Kelvara Cooling with 4 leads

Questions

Questions Careers Services Ask.

Answered for today. Where something is still being built, the answer starts with Coming soon.

Can employers scan candidates at their stand?

Yes. Lead retrieval comes with every seat: recruiters scan the QR code on each attendee's badge or in their event app with their own phones, rate and qualify each candidate, and export their leads to Excel. No charge from us per scanner or per lead: you decide whether employers get it with their pass or buy it at checkout for a price you set.

Can candidates upload a CV?

Coming soon: file-upload questions, so candidates can attach a CV as they register. Today there is no file upload; ask for a profile or portfolio link as a text question instead.

Can we print badges for the fair?

Yes. Design them in real millimetres on A6, 4x6 inch, A5, A4, Letter or custom stock and print any badge from the dashboard before the doors open, or let candidates print their own at a Badge Kiosk as they arrive. Check-in runs in the browser on any phone or tablet.

Is there a free version?

You can build the whole fair, rehearse checkout with Stripe test cards and rehearse check-in on a draft event for free; you subscribe when you are ready to publish. Candidates register free with the same QR code and confirmation as a paid pass. A live event still needs a connected Stripe account, even when every ticket is free.

Where is candidate data hosted, and can we delete it?

Coming soon: EU or UK hosting and a data processing agreement. Today data is hosted in the US (Fly.io, US East); you can erase a candidate on request, exports are yours at any time, and event data is kept through a lapse with a warning before purge.
