Charities and NGOs

Registration That Understands a Charity's Maths.

Build low-income, member and student rates as their own ticket groups, waive fees with 100% codes, add comped delegates by hand with the normal ticket, and run registration in five languages. Registered charities, state schools and religious non-profits can apply to run eventcloud free.

  • Unlimited events
  • We take 0% of ticket revenue
  • Free for life for approved charities, up to 3 users

Charity and NGO Quirks

Waivers, Donations and Volunteers.
Handled.

The awkward bits of charity and NGO events, and what eventcloud does about each today.

Tiered, Waived and Comped Fees

The Quirk

Standard, low-income country, student and staff rates, a waiver for a partner organisation, and three trustees who are definitely not paying.

How eventcloud Handles It

Each rate is its own ticket group or ticket type with its own price schedule. Waive a fee with a 100% promo code, and add comped delegates by hand: they get the normal confirmation and ticket.

Donations at Registration

Done Differently
The Quirk

Some delegates would like to give a little extra while they are paying anyway.

How eventcloud Handles It

There is no donation field. Offer a fixed-amount optional extra instead, such as a contribution towards the programme, sold as an add-on. There are no variable amounts and no Gift Aid handling, and we would rather say so here than in front of your board.

Volunteers on the Door

The Quirk

The door is run by volunteers who arrived twenty minutes ago and have never seen the software.

How eventcloud Handles It

Send them one link and a four-digit PIN. They open it on their own phones, with no app and no account, and you can rehearse the whole thing on a draft event the week before. Duplicate scans are caught, so one ticket gets one person in.

Delegates in Their Own Language

The Quirk

An international programme registers people from Lima, Lyon and Leipzig, and they would all like the confirmation in a language they read.

How eventcloud Handles It

Offer UK or US English, Spanish, German or French, and the registration form, checkout, Stripe's payment page, confirmation emails and PDF tickets follow the language each delegate chose. One job for you: publish a version of each confirmation email per language, or readers get your primary version.

Fees

Fees That Flex. Budgets That Do Not.

Price the conference the way your funders and members expect, with every rate inside the same event.

  • Rates as ticket groups: standard, low-income country, student and partner rates, each with its own form and confirmation email
  • Deadlines that switch themselves: early, standard and late prices change on the dates you set
  • Waiver codes: a 100% promo code, scoped to the passes it covers, with a cap and an expiry
  • Comped delegates: add a speaker or a trustee by hand, and they get the normal ticket
  • One delegate, one address: when a rate asks for each delegate's details, a waived place goes to one person
Price windows for one pass: an early bird, a standard and a door price, each with its dates and an Edit button, and group rates on the first two

Free for Good Causes

Registered charities, state schools and religious non-profits get eventcloud free for life.

Up to 3 users, by application through the contact form and reviewed case by case. Private and fee-paying schools do not qualify, and it is not a free plan for everyone.

The Door

Volunteers, Phones and a PIN. That Is the Kit.

No hardware to hire and no accounts to set up. The door is whatever phones your volunteers brought.

  • Scan or type: the QR from the confirmation or PDF ticket, or the nine-digit ticket number
  • What volunteers see: name, company, ticket and pass type, with repeat scans flagged and refunded or unpaid tickets refused
  • Pause or replace the link: when the shift ends, or between sessions
  • Rehearse first: try the whole door on a draft event before the night

Questions

Questions Charity Teams Ask.

Answered for today. Where something is still being built, the answer starts with Coming soon.

Is eventcloud free for charities?

Registered charities, state schools and religious non-profit organisations can get eventcloud free for life, for up to 3 users. It is not automatic and it is not a free plan: apply through the contact form and our team reviews each application case by case. Private and fee-paying schools do not qualify, and other good causes are welcome to apply. See the charity programme.

Can we take donations at registration?

Not as a donation field. You can sell a fixed-amount optional extra, such as a contribution towards the programme, as an add-on. There are no variable amounts and no Gift Aid handling.

Can volunteers run check-in?

Yes. Send them the check-in link and a four-digit PIN; they open it in the browser on any phone or tablet, with no app and no account, and scan the QR or type the nine-digit ticket number. Rehearse on a draft event first.

Which languages can delegates register in?

Five languages today: UK and US English, Spanish, German and French. Arabic is coming. Each language has its own URL, and the form, checkout, Stripe's payment page, confirmation emails and PDF tickets follow the language each delegate chose. Publish a version of each confirmation email per language, or readers get your primary wording.

Do we keep all of our ticket revenue?

We take 0% of your ticket revenue and never hold the money; it settles straight into your own Stripe account. Stripe's own processing fee still applies.

Is there a free version for everyone else?

You can build the whole event, rehearse checkout with Stripe test cards and rehearse check-in on a draft event for free; you subscribe when you are ready to publish.
