For Universities

Student Rates That Check the Email Domain.

On paid events, a student promo code locked to your university's email domains only works when the person booking uses an address at one of them. Tour slots close themselves at capacity, and one subscription covers every department.

  • A capacity on every tour and talk slot
  • A waiting list for the next open day
  • Every department on one subscription

Tours, Rates and Tenders.
Answered.

What central events, the careers service and procurement each ask, answered for today. Features still being built carry a Coming soon pill.

Tours and Talks with Limited Places

The Quirk

Twenty people per tour, six tours a day, and a lecture theatre that seats exactly ninety.

How eventcloud Handles It

Each tour or talk is a session with its own capacity, sold from a session-based ticket with weekday rules, and slots nobody has booked can stop being offered at a cutoff the day before. Free registrations get the same QR code and confirmation as paid ones.

Student, Staff and External Rates

The Quirk

Students pay less, staff pay something, external delegates pay the full rate, and everyone claims to be a student.

How eventcloud Handles It

Give each rate its own ticket group with its own questions and price schedule. On paid events, lock the student promo code to your university's email domains: it checks the address of the person placing the order, not each attendee, and matches every domain exactly, so list students.yourcampus.ac.uk as well as yourcampus.ac.uk if both are in use. A bare ac.uk matches nobody.

Proof of Student Status

Coming Soon
The Quirk

Some rates need proof: a student card, a staff ID or a letter from a supervisor.

How eventcloud Handles It

File-upload questions let registrants attach a student card or a letter with their registration.

Today, ask for a student number as a question and check it against your records from the Excel export.

The Tender Questions

Coming Soon
The Quirk

The tender asks about accessibility, single sign-on, data residency and invoicing, in that order, in a spreadsheet.

How eventcloud Handles It

A published accessibility statement for the pages registrants use, single sign-on for your staff, EU or UK hosting with a data processing agreement, and invoices for departmental payers.

Today data is hosted in the US, the accessibility statement is not yet published, and departments pay with a PO question, a payment link or a manual add once they have paid you directly.

Four Offices

One Campus. Four Offices Asking Questions.

Admissions, the conference office, the careers service and procurement all want something different from the same platform.

Twenty a Tour.
Ninety in the Lecture Theatre.

Each tour or talk is a session with its own capacity, held at checkout so the last place is never sold twice. Visitors register free and get the same QR code and confirmation as a paying delegate.

  • Empty slots: stop being offered at a cutoff the day before
  • Next open day: a waiting list before it goes on sale
  • Badges: for ambassadors and staff, if you want them

Academic Conferences.
Student Rates Included.

Student, staff and external rates in their own ticket groups, workshops booked as delegates register and scanned at each workshop door, and a lower group price when a department books several places in one order.

  • Student codes: locked to your email domains, on paid events
  • Departmental payers: a PO question, a payment link or a manual add
  • Coming soon: abstract submissions and invoices

Candidates Free.
Employers by Private Link.

Run the careers fair as two registrations in one event: a free candidate form and a private employer pass link capped at the passes you set. Recruiters scan the QR code on each attendee's badge or in their event app with their own phones and export their leads to Excel.

  • No charge from us: per scanner or per lead
  • Ambassadors on the door: a link and a four-digit PIN
  • Candidate questions: degree subject, year of study, sectors

What Procurement Will Ask.
Answered Plainly.

Data is hosted in the US, on Fly.io in US East. Staff sign in with an emailed link or Google, with no passwords and one live session per person, and you can erase a registrant's personal data on request.

  • Built in: organisation-scoped data, with Cloudflare and rate limiting in front of every public page
  • Exports: attendees and orders to Excel, any time
  • Logged support access: ends after 60 minutes, and every session start is logged
  • Coming soon: single sign-on, EU or UK hosting with a DPA, and an accessibility statement

Open Day

Book, Badge, Scan. Fill the Next One.

An open day in four steps, from the booking form to the next date's waiting list.

  1. 1

    Book a Slot

Visitors book on a form that asks only what you need: the tour, a subject talk, the year of entry and any guests.

Registration form layout with email, name, company and job title fields, a section heading and a selected single choice question with its options
  2. 2

    Badge the Ambassadors

Print name badges for student ambassadors and staff from the dashboard, or skip them entirely.

Print ready delegate badge rendered as a PDF with the event banner, the attendee's name, job title and company, a QR code and the ticket type
  3. 3

    Run the Door

Ambassadors open one link and enter a four-digit PIN on their own phones. No app, no account, nothing to train.

Check-in settings for door staff: a four digit staff PIN, a switch to pause access, and a check-in link with a QR code to open on a phone. The PIN and link are masked in this image
  4. 4

    Fill the Next One

Insights shows how many people are waiting for the next date, before it goes on sale.

Questions

Questions Universities Ask.

Answered for today. Where something is still being built, the answer starts with Coming soon.

Can we restrict a student rate to our students?

On paid events, yes. Lock the student promo code to your university's email domains and it works only when the person placing the order books with an address at one of them. Each domain is matched exactly, so list every one your students use. You can also give students their own ticket group with its own questions and price.

Can tours and talks have limited places?

Yes. Each tour or talk is a session with its own capacity, and slots nobody has booked can stop being offered at a cutoff you set the day before.

Can a department pay by invoice?

Coming soon: invoices, bank transfer and purchase orders. Today, capture the PO number on the form, hold the seat with a card payment link valid for up to 30 days, or add the delegate by hand once the department has paid you directly.

Where is the data hosted, and is there an accessibility statement?

Coming soon: EU or UK hosting, a data processing agreement and a published accessibility statement. Today data is hosted in the US (Fly.io, US East), you can erase a registrant on request and exports are yours at any time; the accessibility statement is not yet published.

Is there a free version?

You can build the whole event, rehearse checkout with Stripe test cards and rehearse check-in on a draft event for free; you subscribe when you are ready to publish. Free events, such as an open day, get the same confirmations and QR codes as paid ones. A live event still needs a connected Stripe account, even when every ticket is free.
