Training Quirks

Dates, Waiting Lists and Evidence.
Sorted.

The awkward parts of running courses, and how eventcloud handles each today. Features still being built carry a Coming soon pill.

Recurring Dates with a Cap per Session

The Quirk

The same course runs every Tuesday for a year, twelve seats at a time, except bank holidays and the week the trainer is in Lisbon.

How eventcloud Handles It

Use a session-based ticket: set the weekday rules and excluded dates once, give each session its own capacity, and sell on a rolling horizon up to 180 days ahead. Sessions nobody has booked can stop being offered at a cutoff the day before, and a visible 1 to 15 minute hold at checkout stops the last seat selling twice.

Waiting Lists for Full Courses

Coming Soon
The Quirk

Tuesday is full. Six people want Tuesday anyway, and one of the twelve will drop out on Monday night.

How eventcloud Handles It

When a course ticket sells out, people join its waiting list and you offer places as they free up.

Today the waiting list works on any ticket not yet on sale and emails everyone the moment it opens, so open the next date and let the list fill it.

Registration Numbers on File

The Quirk

Regulated courses need each delegate's professional registration number on record before anyone sits down.

How eventcloud Handles It

Ask for it as a question on the course's form, alongside employer, job title and anything else the regulator wants. Every answer lands in the attendee list and the Excel export, and the trainer checks delegates in from a phone at the door.

Certificates and CPD Credits

Coming Soon
The Quirk

Delegates want a certificate with their CPD hours, and some regulators specify what goes on it: South Africa's CMSA wants the accreditation number and the delegate's HPCSA number on every certificate (CMSA SOP, February 2024).

How eventcloud Handles It

Issue attendance certificates and record CPD or CE credits from the sessions each delegate attended.

Today, scan delegates in at each workshop session and download its attendance list, with the time each person first came in, for the certificates you issue yourself.

Who Is Involved

Delegates, Employers and the Trainer. One Course.

The delegate picks a date, the employer pays for it, and the trainer needs to know who actually made it to the room.

A Date That Suits.
A Seat That Holds.

Delegates pick the date and time that suits them from one session-based ticket, and a visible hold of 1 to 15 minutes at checkout stops the last seat selling twice. On a course day with parallel workshops, each named delegate books theirs.

  • Clashes: refused at checkout
  • More later: in the event app or the attendee portal
  • Full workshop: it simply stops taking bookings

The Employer Sends a Spreadsheet.
You Import It.

Bring employer-booked delegates in from Excel or CSV once the course is published. Every row is checked against your forms and capacity, and a repeated email address is caught before anything is saved.

  • Group rates: a lower price from the number of places you choose
  • Course fees: straight into your own Stripe account, and we take 0% of them
  • Payment links: hold a seat for up to 30 days
  • Coming soon: invoices, bank transfer and purchase orders

Problems found in an attendee import file, listed by row: an email address that is not valid on row 5 and a repeated email on row 11 for a pass that allows one ticket per email address, with a button to download the problem report

Who Made It to the Room.
As a Spreadsheet.

Pick the workshop on the check-in link and each scan admits delegates who booked it or have it with their pass, refuses anyone else and flags a second entry. Each workshop's attendee list shows who came in and when.

  • Check-in: one link and a four-digit PIN on the trainer's phone
  • Lost the QR: type the nine-digit ticket number instead
  • The download: a spreadsheet per workshop

Questions

Questions Course Organisers Ask.

Answered for today. Where something is still being built, the answer starts with Coming soon.

Can delegates choose a date or time slot?

Yes. Each date is a session with its own capacity, sold from one session-based ticket with weekday rules and excluded dates, so delegates pick the slot that suits them at checkout.

Can delegates book workshops when they register?

Yes. Publish each workshop as a session on the event agenda, give it a capacity, and every named delegate picks theirs at checkout; a workshop that clashes with one they already hold is refused. Delegates can book more later in the event app or their attendee portal. Only ticket types that ask for each delegate's details can book.

What happens when a course is full?

Coming soon: a waiting list for sold-out tickets, with places offered as they free up. Today capacity closes a full session, and the waiting list works on any ticket not yet on sale, emailing everyone the moment it opens, so open the next date and let the list fill it.

Do you issue certificates or CPD credits?

Coming soon: attendance certificates and CPD or CE credits. Today, scan delegates in at each workshop session and download its attendance list, with the time each person first came in, and capture the registration numbers a certificate needs as questions on the form.

Is there a free version?

You can build the whole course, rehearse checkout with Stripe test cards and rehearse check-in on a draft event for free; you subscribe when you are ready to publish. Free sessions get the same ticket PDFs, QR codes and confirmations as paid ones. A live event still needs a connected Stripe account, even when every ticket is free.

Can an employer pay by invoice?

Coming soon: invoices, bank transfer and purchase orders. Today, capture the PO number on the form, hold the seat and send the employer a card payment link valid for up to 30 days, or add the delegate by hand once the employer has paid you directly.
