Corporate Event Quirks

Guest Lists, CRMs and IT.
Honest Answers.

Four awkward corners of corporate events, and what eventcloud does about each. Anything still being built carries a pill.

Invite-only Guest Lists

Coming Soon
The Quirk

The customer day is for customers and the partner day is for partners. Somebody always forwards the link to a competitor's intern anyway.

How eventcloud Handles It

Approve each registration before it is confirmed, or make an event invite-only with access codes for the people you asked. Today you can already hide each audience behind a private link and restrict its promo codes to your customers' email domains.

Free Registration for Colleagues and Customers

The Quirk

Internal events and customer days are free, but you still need names, companies, dietary needs and a QR code for the door.

How eventcloud Handles It

Make the audience a free ticket group. Registrants get the same confirmation email, PDF ticket and QR code as a paid order, with no card step, and every answer lands in the attendee list and the Excel export.

The CRM Wants Its Data

Coming Soon
The Quirk

Marketing needs every registration in Salesforce or HubSpot by Monday, ideally without anyone retyping a spreadsheet.

How eventcloud Handles It

Registrations sync to Salesforce, HubSpot or Dynamics, and Zapier connects the tools that have no native connector. Today attendees and orders export to Excel with every answer, and your own GA4 or Tag Manager runs on the event pages.

Single Sign-on for Your Team

Coming Soon
The Quirk

IT wants every organiser signing in through the company identity provider, with a second factor.

How eventcloud Handles It

Your team signs in with single sign-on through your identity provider, set up in your own settings, with multi-factor sign-in on top. Today there is no password to leak: organisers sign in with an emailed link or Google, with one live session per person and instant revocation.

Guest Lists

One Event. A Door for Every Audience.

Customers, partners, prospects and colleagues each register through their own ticket group, with its own questions, price and confirmation email. Nobody wanders through a door that was not meant for them.

Private Links for the People Who Matter.

A private ticket group is hidden from the public event page and reachable only by its link. Restrict a promo code to your customers' email domains, so the 100% code in the account manager's email only works when someone books from one of them.

  • One guest, one address: when a pass asks for guest details, one email holds one ticket
See Promo Codes
Promo codes list with three codes: a 100 percent speaker comp, an 80 percent press discount and an expired 48-hour flash discount, with how many times each was claimed and its status

Paid Seminars, Priced for Teams.

Give a paid seminar a group rate so a customer sending five people pays less per head, or hold a seat and send a card payment link.

  • Group rates: up to six price breaks per price, by tickets per order
  • Your own Stripe account: ticket revenue settles directly, and we take 0% of it

Already Have the Spreadsheet?

Import the guest list from Excel or CSV once the event is published. Every row is checked against your forms and capacity before anything is saved, and confirmations go out only when you send them.

  • Up to 50,000 rows: in one file of up to 20 MB
  • Published events only: so import is not part of the free trial

Attendee import at the Check step: eight new attendees, no updates, two rows with problems and no empty rows, with a places table showing how many of each ticket type the import needs and how many are left

Approve Every Name.

Review each registration and approve or decline it before the ticket goes out. Today, private links and domain-locked codes keep each event to the people you invited.

On the Day

Badges Before Breakfast. Check-in by Phone.

Design badges in real millimetres, pre-print them or let guests print their own as they arrive, and staff the entrance with whatever phones your team brought.

  • Badges in real millimetres: A6, A5, A4, Letter, 4x6 inch or custom stock, with live data from any question
  • A badge kiosk by the door: guests type their ticket number, check their badge and print it, and printing checks them in
  • One link and a PIN: any phone or tablet, no app and no accounts, paused or rotated between sessions
  • A live check-in rate: check-ins, no-shows and arrivals by hour in Insights

Branding

Your Brand on Every Page.

Pick your colours and one of eight font pairings, add your logo, banner and favicon, and they carry from the event page through checkout to the social card. Enterprise customers can run the whole product on their own domain.

  • Your own address: yourcompany.eventcloud.io on every plan, trial included, with no DNS work; your team signs in there too
  • Email from your own domain: confirmations from your verified sending domain, with SPF and DKIM
  • Your own analytics: your GA4 ID on each event, or a Tag Manager container on your eventcloud address

Questions

Questions Corporate Teams Ask.

Answered for today. Where something is still being built, the answer starts with Coming soon.

Can we keep registration invite-only?

Coming soon: approval of each registration, and invite-only events with access codes. Today, put each guest list in a private ticket group that only its link can reach, restrict promo codes to named email domains, and hold a seat for someone with a payment link.

Can we upload a guest list we already have?

Yes, once the event is published. Import an Excel or CSV file of up to 50,000 rows: every row is checked against your forms and capacity before anything is saved, and confirmation emails go only when you choose to send them. Because it needs a published event, import is not part of the free trial.

Does it connect to Salesforce or HubSpot?

Coming soon: CRM sync with Salesforce, HubSpot and Dynamics, plus Zapier. Today, attendees and orders export to Excel with every registration answer, payments settle in your own Stripe account, and your own GA4 or Tag Manager runs on the event pages.

Can employees register free, and is there a free version?

Employees can: a free ticket group gives them the same confirmation email, PDF ticket and QR code as a paid order, with no card step. You can build the whole event in eventcloud, rehearse checkout with Stripe test cards and rehearse check-in on a draft event for free, then subscribe when you are ready to publish.

Can we run virtual or hybrid corporate events?

No. eventcloud is for in-person events, and we would rather say so than sell you a livestream we do not have.

Where is our data hosted?

Coming soon: EU or UK hosting and a data processing agreement. Today data is hosted in the US (Fly.io, US East), you can erase an attendee on request and exports are yours at any time. Organisers sign in without passwords, by emailed link or Google.
