Show Office Quirks

Codes, Exhibitors and Walk-ins.
Answered.

The operations and exhibitor-sales questions, answered for today. Features still being built carry a Coming soon pill.

One Code from Registration to Door

The Quirk

The QR in the confirmation email, on the badge and at the door should be the same code, or the entrance turns into a customer service desk.

How eventcloud Handles It

The QR in the confirmation email and on the PDF ticket is the one the badge prints and the door scans, and the nine-digit ticket number beside it works when a phone dies. A second scan shows when the visitor first arrived.

Exhibitors Want Leads, and Proof

Partial
The Quirk

Exhibitors want their stand staff registered against their stand, their leads scanned, and proof the show was worth the money.

How eventcloud Handles It

Lead retrieval comes with every seat: exhibitors scan the QR code on each attendee's badge or in their event app with their own phones, rate and qualify each lead, and export their leads to Excel.

Coming soon: an exhibitor portal with stand staff linked to their stand, and sponsor reporting. Today, stand-staff passes sit behind a private link with a cap you set.

Walk-ins and Print on Arrival

Partial
The Quirk

Two hundred walk-ins arrive at 10:05, and fifty pre-registered visitors changed their job title overnight.

How eventcloud Handles It

Put a Badge Kiosk by the door: visitors type their ticket number, or their name or email if you switch that on, fix a typo if you allow it, and print, and printing checks them in. Walk-ins register on their phones first. Coming soon: door staff finding visitors by name, company or email.

The Quirk

Thick walls, four thousand phones and a venue network that gives up at exactly 10:00.

How eventcloud Handles It

Check-in keeps scanning offline and syncs when the connection comes back. Today browser check-in and the kiosk need a connection, so plan a mobile data fallback for every entrance.

How Check-in Works Today
Behind the Numbers

Five Stops Between the Campaign and the Close.

Everything a show office runs, stop by stop, with what works today and what is on the way.

01 Pre-registration

Pre-registration That Converts.

A branded visitor page in five languages, free registration with the same QR and confirmation as a paid pass, and checkout conversion on screen while the campaign runs.

Partner Codes

tracked, with registrations per partner

02 Badges and Kiosks

Badges in Millimetres. Kiosks by the Door.

A template per visitor, exhibitor and press group on 4x6 inch or A6 stock, with live data from any question. A laptop and a badge printer make a kiosk: visitors type their ticket number, check the badge and print it, with no print dialog in browser kiosk mode on Windows.

Registration Contractors

Fusion, RefTech, Jonas and LiveBuzz bring staff, kiosks and scanners on a quote. eventcloud is software your own team runs, with no onsite staffing and no hardware to rent. Plenty of organisers will keep a contractor for the biggest show and run the rest themselves. The comparisons below cover the software platforms.

Questions

Questions Show Teams Ask.

Answered for today. Where something is still being built, the answer starts with Coming soon.

Can exhibitors scan leads?

Yes. Lead retrieval comes with every seat: exhibitors scan the QR code on each attendee's badge or in their event app with their own phones, so there is no scanner to rent, then rate and qualify each lead and export their leads to Excel. No charge from us per scanner or per lead. You decide whether exhibitors get it with their pass or buy it at checkout for a price you set.

Can we print badges on site?

Yes. Run the Badge Kiosk on a laptop beside a badge printer: visitors type their ticket number, check their badge and print it, and printing checks them in. Started in Edge, Chrome or Firefox kiosk mode on Windows, it prints with no dialog. You can also pre-print any visitor's badge from the dashboard and reprint after an edit.

Do you charge per visitor, per badge or per scan?

No. We count team seats, nothing else. Visitors, badges, scans and leads are not metered.

Can the platform handle our show's volume?

There is no cap on registrations or attendees, and exports run in slices of 10,000 orders, filtered by ticket group. For shows above a few thousand visitors, we would like to walk through door layout and exports with you first.

Does it connect to our CRM?

Coming soon: CRM sync with Salesforce, HubSpot and Dynamics, plus Zapier. Today payments settle to your own Stripe account, you bring your own GA4 or Tag Manager, and visitors and orders export to Excel with every answer.

Do you rent printers or iPads?

No. eventcloud is software your own team runs: badges print from the browser, through the print dialog or, on a Windows kiosk laptop, with no dialog at all, and check-in runs on any phone or tablet you already have.
