Confex

One Event. Three Front Doors.

Paid conference passes, free expo registration and a private link for stand staff, each with its own form, prices and confirmation email. The keynote door scans conference passes in and turns visitors away, politely.

Confex Quirks

Half Conference, Half Exhibition.
All the Quirks of Both.

A confex (in the US, a conference with an expo) runs paid and free audiences through one event, which is exactly where a single-audience registration tool starts sweating. Here is how eventcloud handles it.

Paid, Free and Private in One Event

The Quirk

Paid delegates, free visitors, exhibitor staff, press and sponsors all need passes for the same event, at different prices or none.

How eventcloud Handles It

Public and private ticket groups sit side by side, free and paid, each with its own form, price schedule and confirmation email. Free visitors get the same QR code and PDF ticket as a paying delegate, with no card step.

Keeping the Auditorium for Pass Holders

The Quirk

The expo floor is free to enter. The keynote is not, and free visitors have a habit of drifting in.

How eventcloud Handles It

Switch on booking for the conference sessions, include them with your delegate passes and limit who can book them to those passes. Door staff then scan at each session's door: delegates are admitted, visitors are politely refused, and anyone back from the coffee queue is flagged as a re-entry, not a gatecrasher.

Badges That Tell Three Audiences Apart

The Quirk

A steward has two seconds to tell a delegate from a visitor from an exhibitor.

How eventcloud Handles It

Each ticket group prints its own badge design, so the three differ in layout, wording and, if your printer prints it, colour. Filter the attendee list by group and print each badge, or let people print their own at a Badge Kiosk as they arrive.

Exhibitors Who Want Their Leads

The Quirk

Exhibitors on the expo floor want delegates and visitors scanned into a list they can follow up.

How eventcloud Handles It

Exhibitors scan the QR code on each attendee's badge or in their event app with their own phones, delegates and visitors alike, and export their leads to Excel. No charge from us per scanner or per lead. You decide whether exhibitors get it with their pass or buy it at checkout for a price you set.

Three Front Doors

Three Audiences. Side by Side.

One event, three audiences, and what each one gets from the registration form to the session door. Plus the stewards who keep them where they belong.

A Paid Pass.
Sessions Booked in the Same Checkout.

Conference delegates buy a public pass with early, standard and late prices, book their sessions in the same checkout and get their own PDF ticket with a QR code. Sessions included with their pass let them straight in.

  • Sessions: free, paid or included with the pass
  • Price windows: switching by date, on their own
  • Their badge: a conference design of its own

Free Registration.
No Card Step.

Expo visitors register free on their own form, with your qualifying questions, and get the same QR code and PDF ticket as a paying delegate. Visitors crossing borders can register in five languages.

  • Their own form: qualifying questions for exhibitors
  • Their own badge: a visitor design, printed at a Badge Kiosk
  • Conference sessions: politely refused at the door

Stand Staff by Private Link.
Leads on Their Phones.

Stand staff register through a private pass link with a capacity. Lead retrieval comes with every seat: exhibitors scan the QR code on each attendee's badge or in their event app with their own phones, rate and qualify each lead, and export their leads to Excel.

  • No charge from us: per scanner or per lead
  • Included or sold: with their pass, or at checkout for a price you set
  • Coming soon: an exhibitor portal of their own

One Link for Every Door.
The Entrance or the Keynote.

Stewards open the check-in link on their own phones and pick where they are scanning: the entrance or any session. At a session door, one scan admits or refuses, with the reason on screen.

  • Re-entry: flagged, not mistaken for a gatecrasher
  • A running count: every phone at that door shows the same number
  • Nothing to install: any phone with a browser and the PIN

Fair Questions

Questions Confex Organisers Ask.

Can one event mix paid passes and free ones?

Yes. Paid conference passes and free visitor passes sit in the same event, each in its own ticket group with its own form, price schedule and confirmation email. Free registrations get the same QR code and PDF ticket, with no card step.

Can delegates and visitors answer different questions?

Yes. Each ticket group has its own form, so delegates, visitors and exhibitor staff are each asked only what applies to them, over as many pages as you like.

How do we keep the conference rooms to conference-pass holders?

Switch on booking for the conference sessions, include them with your delegate passes and limit who can book them to those passes. Door staff pick the session on the check-in link, and each scan admits a delegate or refuses a visitor, with a running count against the session's capacity. Access is set per session, not per room.

Can we print badges at the entrance?

Yes. Run a self-service Badge Kiosk on a laptop with your badge printer beside it: delegates and visitors type their ticket number, check the badge and print it, and printing checks them in.

Can exhibitors scan delegates and visitors for leads?

Yes. Lead retrieval comes with every seat: exhibitors scan the QR code on each attendee's badge or in their event app with their own phones, rate and qualify each lead, and export their leads to Excel. No charge from us per scanner or per lead. You decide whether exhibitors get it with their pass or buy it at checkout for a price you set.

Can we build the whole event before paying?

There is a free trial. Build the whole event, rehearse checkout with Stripe test cards, and rehearse check-in and the Badge Kiosk on a draft event, then subscribe when you are ready to publish.
